Privacy Policy

Who We Are

TokoPlus Agent is a point-of-sale and business management tool provided to agents, admin staff, and business partners for work purposes. Accounts are provisioned administratively by your company or organization; there is no self-registration in the App.

Scope of This Policy

This policy covers:

Account and authentication data collected by the App;
Business data you enter or manage through the App (company, customers, products, sales, payments, delivery documents);
Camera and photo gallery access used for QR/barcode scanning and product/document images;
Technical and local session data stored on your device;
Data shared with connected TokoPlus backend systems and third-party service providers (see Section 6).

It does not cover websites or services operated by third parties that we do not control, even if they are linked from the App.

1. Information We Collect

The App collects the following categories of information. Some of it is provided by you, some is generated automatically through use of the App, and some is entered by you about your business customers and operations.

Account Information

Email address, password (transmitted to our server for authentication and not stored in readable form by the App), full name, and user role(s) and permissions assigned by your company administrator.

Company Profile

Company name, email, phone number, address, city, province, and postal code.

Customer Data

Customer names, codes, email addresses, phone numbers, billing and shipping addresses, and — for motorist/canvas customers — GPS coordinates (latitude/longitude).

Product Data

Product names, descriptions, prices, stock levels, and product photographs.

Sales & Transaction Data

Cart contents, quantities, unit prices, discounts, promos, invoices, sales orders, purchase orders, delivery notes (surat jalan), stock transfers, and stock returns.

Payment Records

Payment method (cash, card, or QRIS), amount paid, change due, card last four (4) digits, QRIS reference codes, down payments, and installment payment history.

Delivery Documents

Delivery note files and related documents uploaded through the App.

Technical Information

Authentication session tokens stored locally on your device, language preference, and login session state.

Device permissions: the App may request access to your camera (to scan QR/barcode return item codes and capture product photographs) and your photo gallery / storage (to select product images and to save or share exported documents such as PDF and Excel). These permissions are requested only when required and with your consent through the device settings.

We do not collect your precise device GPS location, contacts, microphone audio, or biometric data.

2. How We Use Your Information

We use the information we collect to:

Authenticate your account and maintain your login session;
Provide, operate, and maintain the App's point-of-sale and business management features;
Process and record sales, payments, invoices, and delivery transactions;
Generate reports, invoices, delivery notes, and stock documents;
Display customer locations on maps (where applicable);
Send in-app notifications, such as invoice payment reminders;
Sync sales and stock data with connected backend systems;
Improve the App's functionality and reliability.

3. How We Store and Protect Your Information

Server Storage

Most business data is stored securely on our backend servers and accessed via authenticated API requests.

Local Storage

A limited set of information (authentication token, user ID, company ID, username, roles, and language preference) is stored locally on your device to keep you signed in.

Security Measures

Data in transit is encrypted using HTTPS/TLS. Access to backend systems is protected by token-based authentication and role-based permissions.

While we take reasonable measures to protect your information, no method of transmission over the Internet or electronic storage is 100% secure. We encourage you to keep your login credentials confidential and to log out of the App when not in use.

4. Sharing of Information

We do not sell, trade, or rent your personal information to third parties. We may share information only in the following circumstances:

Service providers: With trusted third-party services that help us operate the App, such as Google Maps (used to display customer location data on maps). These providers process data only on our behalf and in accordance with their own privacy policies.

Legal requirements: When required by applicable law, regulation, legal process, or governmental request.

Business transfers: In connection with a merger, acquisition, or sale of assets, subject to appropriate confidentiality protections.

5. Third-Party Services

Component	Purpose
Google Maps	Used to display customer location coordinates on a map. Your use of Google Maps is also subject to Google's Privacy Policy .

The App does not include advertising SDKs, third-party analytics tools, crash-reporting services, or third-party payment gateways. Payments are recorded directly to our backend system only.

6. Data Retention

We retain your personal information and business data for as long as your account is active and as needed to provide the App's services, comply with legal obligations, resolve disputes, and enforce our agreements. You may request deletion of your account and associated data by contacting us (see Section 11).

8. Children's Privacy

The App is intended for use by business professionals and is not directed at children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us and we will take steps to delete it.

9. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new Privacy Policy within the App and updating the "Last updated" date. You are encouraged to review this Privacy Policy periodically.
